Switching from Wild Apricot
If you're leaving Wild Apricot, here's what to expect with a Covey migration: what we pull, what you approve, and how 48 hours looks from start to finish.
What we pull from Wild Apricot
Members (including contact secondary emails, custom fields, member photos). Membership levels with dues amounts and benefits. Event history (registrations, attendance, waivers). Financial transactions (dues, event payments, donations, refunds). Email templates and send history. Forum posts and comments. Forms and form submissions. Documents (up to 50GB included).
What we do not pull automatically
Custom CSS themes (we rebuild your site on Covey's design system). Admin user accounts (you invite admins to Covey directly). Third-party integrations (Zapier, webhooks) need to be reconnected.
The 48-hour process
Hour 0: kickoff call, review your Wild Apricot account together, confirm scope. Hours 1 to 24: data export, mapping, import to staging. Hour 24: review call, walk through staging together. Hours 24 to 48: adjustments based on review. Hour 48: DNS cutover, monitoring call, go-live. A real human is on call during cutover.
What it costs
Migration is included in Covey onboarding at no extra cost. You pay your normal Covey plan; we absorb the migration labor.
What members experience
Members receive a pre-cutover email 7 days out explaining the change. On cutover day, they get a welcome-to-Covey email with their new login. Their data, history, and benefits carry over. Their member number stays the same.
Will my dues history be preserved?
Yes. Every dues payment, refund, and donation from your Wild Apricot history imports with dates and amounts. Useful for IRS year-end statements and board reporting.
What if something breaks
We monitor the first week after cutover. If anything breaks, we fix it. You do not pay extra. The same person who did your migration stays on your account for the first 90 days.
